Getting started

7 answers

What is PawFred?

PawFred is the animal registration and verification platform your community uses. We process resident declarations and animal registrations, verify animal documentation against your property’s animal policy, and give you safety tools such as a smart tag, SOS alerts and an animal emergency tool.

PawFred registers and verifies. Your property decides. Every final decision about an animal, including approvals and accommodations, belongs to your property manager.

What is a PawFred Verified Community?

A community where every household registers with PawFred, with or without a pet. It means the community has one clear, consistent way to keep track of animals, keep vaccinations current, and respond quickly when an animal is lost or causes a problem.

I don’t have a pet. Do I still need to register?

Yes. Every household declares, with or without an animal. Declaring that no animal lives in your home is free and takes a few minutes.

How do I register?

  1. Scan or visit. Scan the QR code in your leasing office or welcome materials, or use the link your property sent you.
  2. Declare. Choose pet, assistance animal (emotional support animal or service animal), or no animal. One declaration covers your whole home.
  3. Sign. One adult signs the declaration for everyone in the home.
  4. Complete registration. Add every animal. If you have a pet, pay in the flow. Your declaration is processed only once registration is complete.
  5. Verify. PawFred reviews your documents and sends the result to your property. Your property makes the final decision.
  6. Pick up and download. Pick up your tag at the leasing office once it is ready, and download the PawFred app.

I can’t use the app or the website. What can I do?

Our registration flow is designed to meet accessibility standards (WCAG 2.1 AA). If you still can’t use it, ask your property manager for help or for another way to register. No one is turned away for not using PawFred.

Who signs the declaration?

One adult signs for the whole home. By signing, that person confirms they are authorized to sign for everyone in the home, that the declaration is true and complete to the best of their knowledge, and that the other people living there know their information is shared with PawFred and the property. Other adults in the home can be invited to the account and get their own login.

Who can create an account?

You must be 18 or older. Each person has their own account, and logins may not be shared. Children cannot hold accounts.

Declarations

7 answers

What is a declaration?

A declaration is the statement your household submits about whether any animal lives in your home and, if so, which ones. One declaration covers the whole home. It is your statement, not PawFred’s, and we record the date, time and account that submitted it.

What types of declaration are there?

I have a pet and an assistance animal. How do I declare?

Register as a pet home first, then add the assistance animal in the same declaration. One declaration still covers your whole home, the assistance animal is still processed and verified for free, and it never counts as a pet for pricing or pet limits.

How long do I have to send documents?

7 days from each document request. For an assistance animal, you can ask for more time and we will allow a reasonable extension. If you don’t respond, the item stays unverified and is referred to your property manager.

What if something changes?

Update your declaration within 10 days of any change, such as a new animal, an animal leaving your home, a change of owner, or a no-animal home getting an animal. Declare again at each lease renewal. If your community requires approval before a new animal moves in, submit your declaration before the animal arrives.

What about visiting animals?

Visiting or guest animals follow your community’s rules. Where your community requires it, register them before the visit.

What happens if a declaration is false?

Knowingly false declarations can break your lease or community rules. Some laws, including in Florida, make it an offense to knowingly misrepresent a service animal or an emotional support animal. If you made a mistake, update your declaration as soon as you notice.

Verification

6 answers

What does PawFred verify?

Vaccination records, licenses, insurance and other animal documents your community’s animal policy requires. We check that documents are legible, complete and current, that names, dates and animal details match, and, when needed and with your authorization, we confirm a document with the clinic, licensing authority or insurer that issued it.

Who approves my pet?

Your property manager. PawFred never approves or rejects an animal. Each item is marked Verified, More information needed (we tell you exactly what is missing) or Referred to your property manager. A tag or a verification result is not an approval.

What do the labels on my animal’s profile mean?

Label

What it means

What it does not mean

Self-Reported

You told us. PawFred has not checked it.

That it is accurate or current.

PawFred-Verified

On the date shown, PawFred checked it against a source document and your property’s policy and found it consistent.

That the animal is healthy, safe or well behaved, or that the information is still current.

PawFred-Issued

A record PawFred created, such as your PawFred ID, tag profile or verification summary.

A government license or vaccination certificate, unless it is an Authorized Digital Document.

How long does verification last?

Each verification runs for a full 12 months, starting on the day we receive the animal’s documents. During that time we review your documents, ask for anything missing, track expiry dates, and review updated documents you send. We remind you before documents expire.

What if I think a verification result is wrong?

Ask for a review in the app or email hello@pawfred.com. A person will respond within 5 business days.

Does PawFred use AI?

Yes, to help read documents, flag mismatches and possible forgeries, and answer support questions. AI never makes the final decision. Anything an automated check cannot verify goes to a person, no automated system ever denies an assistance animal request, and your property manager makes every final decision. We do not allow our AI providers to use your personal information to train their general models.

PawFred documents and your originals

3 answers

Is a PawFred document the same as my original?

It depends on which kind it is. Every PawFred document is labeled.

  • Verified Digital Copy. We reviewed your original and confirmed the copy matches it. It has no legal effect of its own and does not replace the original. Keep your originals.
  • Authorized Digital Document. Issued by PawFred on behalf of an authority that issues the original (for example, your property, a county or a city) under an agreement that authorizes us. It carries the validity that authority gives it, but only within the scope, place and period shown on the document.

If a document doesn’t clearly say it is an Authorized Digital Document, treat it as a Verified Digital Copy.

Can my property issue its animal registration through PawFred?

Yes, if your property has authorized us to. In that case your property’s animal registration or approval record is issued in PawFred as an Authorized Digital Document on the property’s behalf. It records the decision your property manager made, is valid only for that property, home and period, and ends if you move out, the property revokes it, or the property’s agreement with PawFred ends.

Does my PawFred tag replace my county license or rabies tag?

No, unless an Authorized Digital Document expressly says so. Keep your rabies and vaccination certificates, county or city licenses and tags, microchip records, insurance policies and any permits. Animal control, veterinarians, airlines and other landlords may ask for the originals.

Assistance animals (emotional support and service animals)

10 answers

Do I pay anything for an assistance animal?

No. Assistance animal declarations are processed and verified for free, and there is no payment step. Pet rent, pet deposits and pet fees do not apply. You may choose to take a PawFred Animal Community Registration for its benefits, but it is optional and never affects verification or your property manager’s decision.

Do I have to use PawFred to request an accommodation?

No. PawFred is one way to ask, never the only way. You can make a request in any form, at any time, directly with your property manager, in writing or in person.

What information will you ask for?

Only what the law allows a housing provider to ask. We never ask for your diagnosis, medical records or details about your disability. If you send them, we may redact them and will not use them. In housing, if your disability is not obvious, your property may ask for reliable information showing a disability-related need for the animal. In Florida, that information must meet Florida Statutes § 760.27. Documentation bought online with no real provider relationship may not meet the legal standard.

Who decides my request?

Your property manager. A person reviews every request, and no algorithm or AI tool approves or denies one. We acknowledge your request within 2 business days and tell you exactly what is missing, if anything. Any denial must come from your property manager in writing and must state the reason.

Who can see my assistance animal file?

Only your property manager, as the decision-maker, and a small group of trained PawFred reviewers. Files are stored separately with restricted access, and every access is logged. We never use this information for marketing, partners, analytics or AI training.

Will my neighbors or property staff know my animal is an assistance animal?

No. PawFred tags look the same for every animal. Staff who do not make decisions see only “registered animal,” never the type. Your tag profile, The Mural and other residents never show that an animal is an assistance animal unless you choose to show it.

Do assistance animals have to follow community rules?

Yes, the general rules that apply to every resident, such as rabies vaccination and licensing laws, leash and waste rules, and rules on direct threats or significant damage. Breed, size, weight and number limits, multi-pet pricing and pet-specific insurance requirements do not apply. Any issue is decided by your property manager, case by case, based on the animal’s actual conduct.

I’m a hotel guest with a service animal. Do I need to register?

No. In hotels and other public places, guests with service animals are never required to register, upload documents or use PawFred. You may choose to.

I paid for my animal as a pet, and it was later approved as an assistance animal. What happens?

We stop charging for that animal and refund the PawFred registration fees paid for it from the date of your request.

Where can I file a fair housing complaint?

Nothing in our terms limits your right to file a complaint with the U.S. Department of Housing and Urban Development (HUD), the Florida Commission on Human Relations, the U.S. Department of Justice, your state attorney general or any other agency.

Payment of the PawFred registration fee is required to process a pet declaration. If the price shown in the registration flow before you pay is different, that price applies. Prices do not include taxes unless stated.

What does the PawFred Animal Community Registration include?

The battery-free PawFred tag, the PawFred app, the animal emergency tool, SOS and community alerts, verification of each pet during its 12-month verification period, and access to perks and discounts, which vary by location.

Are my property’s pet fees included?

No. Pet rent, pet deposits and pet fees are set and collected by your property under your lease, not by PawFred. The registration flow may show them for your information. Questions about them go to your property.

How do I pay?

In the registration flow, by card, through our payment processor, Stripe. PawFred does not store full card numbers. There are no payments at the leasing desk. If your property bills you instead, for example through your rent ledger, your property’s billing terms apply.

Does my registration renew automatically?

Yes. Your PawFred Animal Community Registration renews at the end of each monthly or annual term, at the fee then in effect, until you cancel. Before you subscribe we show you the price, how often you will be charged and how to cancel, and we ask for your consent. After you subscribe we email you a confirmation. For annual plans, we send a reminder 15 to 45 days before each renewal. We give at least 30 days’ notice of any price increase.

How do I cancel?

Online at any time in the app’s account settings, without calling anyone, or by emailing hello@pawfred.com. Cancellation stops future renewals and takes effect at the end of your current paid term. You keep access until then.

Can I get a refund?

All fees are final, including for partial terms. In particular, we do not refund fees:

  • if verification is unsuccessful or an item cannot be verified, because each verification runs for its full 12 months from the day we receive the documents;
  • if your property manager declines an animal or a declaration;
  • if you move out, your lease or stay ends, or you stop living in that community; or
  • if you cancel before the end of a term.

We do refund or credit you if we charged you in error or twice, if we remove a paid feature you already paid for, if an animal you paid for as a pet is approved as an assistance animal, or where the law requires it.

What happens to my registration if I move out or my animal is declined?

Features tied to that community end, such as registration with that community, its dashboard, The Mural and its community channel. Features not tied to that community, such as SOS and community alerts, the animal emergency tool and your tag’s lost-and-found profile, keep working for the rest of your paid term. You keep your PawFred account and your animals’ basic profiles unless you delete them.

I don’t recognize a charge. What should I do?

Email hello@pawfred.com before disputing it with your bank. We respond within 5 business days.

What is the PawFred tag?

A battery-free NFC smart tag. Anyone who taps it with a phone sees your animal’s public profile and can contact you, which helps a lost animal get home faster. Tags have no GPS and do not track location.

When and where do I get my tag?

Once your animal is registered through PawFred’s verification flow, you and your property are notified that the tag is ready. Pick it up at the leasing office and choose the color and size. A tag is not an approval, and a missing tag does not mean an animal is unregistered.

What does someone see when they scan my animal’s tag?

The public profile you set: your animal’s name, photo and lost status, any care alert you add, and a button to contact you through a masked relay. Your name, phone, email, address and unit stay hidden unless you choose to show them.

Does the tag show whether my animal is an assistance animal?

No. Tags look the same for every animal.

I lost my tag. What do I do?

Report it in the app right away so we can deactivate it. Replacement terms are shown in the app. Tags stay linked to the animal they were issued for, so never move a tag to a different animal.

Safety: SOS and alerts

3 answers

Is SOS an emergency service?

No. SOS helps you reach the people around you faster. It does not replace 911, police, fire, animal control, poison control or an emergency veterinarian, it does not dispatch responders, and it is not monitored around the clock. In an emergency, call official channels first:

  • A person is hurt or in danger: call 911.
  • A dangerous, injured or loose aggressive animal: call 911 or your local animal services.
  • A possible poisoning: call your veterinarian or the ASPCA Animal Poison Control Center at (888) 426-4435 (a fee may apply).
  • An animal medical emergency: go to the nearest emergency veterinary hospital.

Then use SOS to alert your neighbors and contacts.

Who receives my alerts?

Alert

Who receives it

Lost animal

Your emergency contacts, your household, and verified residents of your community who have alerts turned on

Found animal (tag scan)

The animal’s household and emergency contacts

Safety alert

Verified residents of your community and, where enabled, your community administrator

Personal SOS

Your emergency contacts and, where enabled, your community administrator

We can’t guarantee that an alert will be delivered, read or acted on, because alerts depend on networks, devices and notification settings outside our control.

Does PawFred track my location?

No. We never track you or your animal in the background. Location is shared only when you choose, such as during an SOS or when a finder chooses to share where they found your animal. SOS location data is deleted 30 days after the alert closes.

Community channel and The Mural

3 answers

How do I report a problem with an animal in my community?

Use the community channel. Any resident or staff member can report issues such as waste, noise, off-leash animals, aggressive behavior, damage, or an animal that may not be registered. Describe what the animal did, with the date, time and place, and a photo if it is safe to take one.

Reports are private. They go only to your property manager and PawFred and are never posted publicly. Reports are judged on what an animal did, not on its status. Don’t include anyone’s health or disability information. Your property manager decides what to do; PawFred does not investigate households, enter homes or enforce rules. In an emergency, call 911 or animal services first.

What is The Mural?

The Mural (Community Asks) lets verified residents of the same community post short requests and offers, such as finding a cat sitter or organizing a search for a lost pet. Posts are visible only to verified residents of that community and, where enabled, its community administrators. Arrangements you make with another resident are between you and them.

What are the community rules?

Be a good neighbor. Don’t harass, threaten, shame or discriminate against anyone; don’t speculate about anyone’s disability, health or assistance animal; don’t post other people’s personal information, unit numbers or photos without permission, or photos of children; don’t post false content, spam or ads; and don’t sell, rehome or breed animals through community features. You can report any post, and we may remove content or suspend accounts that break the rules.

Perks and discounts

4 answers

What perks are available?

Perks, discounts and experiences from local businesses we curate. Offers depend on where your household is registered and on our arrangements with local partners, so they vary by location, may not exist outside your original household’s area, and may change or end at any time. We don’t promise any particular offer or level of savings, and your registration fee doesn’t depend on them.

How do you choose partners?

Offers can come from businesses that apply, residents who recommend a local favorite, or our own team. We aim to feature only what we would choose for ourselves and our own pets, and we may decline or remove any offer. Paid placements are labeled “Featured” or “Sponsored.” Partners are independent businesses: when you buy from or book with one, your contract is with that partner and its terms apply. Featuring a partner is not a guarantee of its quality or safety.

Do partners get my information?

No, except the minimum needed to honor an offer you redeem, such as a redemption code or your first name. Anything more requires your permission. We do not sell personal information.

Do Pawsport stickers and Golden Vouchers have cash value?

No. Unless an offer says otherwise, rewards have no cash value, cannot be transferred or sold, and cannot be combined with other offers.

Privacy and your data

7 answers

Do you sell my personal information?

No. We do not sell personal information and do not share it for targeted or cross-context behavioral advertising.

Who can see my information?

Access is based on role, and each person sees only what their role needs:

  • Your property manager, as decision-maker, sees your declaration, animal profiles, verification results, the documents your community’s policy requires, and any assistance animal request, to make final decisions.
  • Other property staff see only whether your home has a registered animal, its declaration and verification status, and tag IDs, never the animal’s type or documents.
  • Other residents see only your Mural posts and alerts you send, with your first name and building, not your unit number.
  • Anyone who scans your tag sees only the public profile you set.

How long do you keep my information?

Only as long as we need it. For example, declarations, animal documents and assistance animal files are kept for the length of your residency or stay plus 3 years, so your community can show compliance, then deleted. Account details are kept while your account is open and 90 days after. Our Privacy Policy lists every retention period.

How do I access, correct, download or delete my information?

Use the privacy settings in the app or email privacy@pawfred.com. We verify your identity and respond within 45 days. Some records your community must keep for compliance may be kept after a deletion request. If we decline your request, you can appeal by replying with “Appeal” in the subject line.

Do you use cookies?

We use the cookies needed to run our website and app and, where the law requires, ask before using analytics cookies. We do not use advertising cookies or social media tracking pixels. You can manage cookies through the “Cookie settings” link in our website footer, and we honor Global Privacy Control signals.

I live in California or another state with a privacy law. What are my rights?

You have the rights described in our Privacy Policy, including the right to know, delete, correct and port your information, to opt out of sale, sharing and targeted advertising (we don’t do these), and to appeal. We apply these protections to everyone, wherever they live.

How do you protect my information?

With encryption in transit and at rest, role-based access, multi-factor authentication for staff, access logging, separate restricted storage for assistance animal files, and regular access reviews. Payments are processed by Stripe. If you suspect someone has accessed your account, email security@pawfred.com right away.

Your account

3 answers

Can I share my account with my partner or roommate?

No. Each adult has their own login. The person who signed the declaration can invite other adults in the home, and they can see the household’s animal profiles and shared declarations, but not each other’s private messages or assistance animal files unless shared.

How do I close my account?

In the app, at any time. Closing your account does not entitle you to a refund. Your former community keeps the records it is required to keep, as described in our Privacy Policy.

How do I settle a disagreement with PawFred?

Email legal@pawfred.com with your name, the issue and what you would like, and we will try to resolve it within 60 days. If we can’t, our Terms of Service explain how disputes are resolved, including individual arbitration, small claims court, and your right to opt out of arbitration within 30 days of first accepting the Terms.

For property teams

4 answers

What does PawFred do for our property, and what do we decide?

PawFred processes declarations and animal registrations and verifies animal documentation against your animal policy. Your property makes every final decision: approvals, accommodations, fees and violations.

How should staff handle assistance animal requests?

Take every request, in any form, and send it to your property’s decision-maker the same day. Never ask about a disability or diagnosis, never look at or collect documents, never charge fees for an assistance animal, and never tell other residents an animal is an assistance animal. Let service animals in wherever residents and visitors may go. Only the property decides, in writing, after an individual assessment.

How do staff report animal issues?

Through the community channel, describing what the animal did, with the date, time, place and a photo if safe. Check the property dashboard before entering a unit. Remember that no tag does not mean no registration.

How do we get more tags?

Email hello@pawfred.com and we’ll send them at no cost.
